Handle all inquiries regarding the use of the Ashland Kroc Center facility and coordinate the details necessary for those uses.
Oversee Kroc Center special events in coordination with other appropriate staff team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES.
Coordinate the use of the Kroc Center by user groups, including room assignments and set up, food service/hospitality needs, and rental customer billing and invoicing.
Listen to potential facility usage guests/ members' goals and preferences and connect them to existing and related solutions; maintain awareness of opportunities for increased sales to include membership, programs, food service, etc.
Ensure facility usage guests/members understand the details, policies and procedures related to their event, and complete necessary payment and paperwork.
Coordinate or provide supervision for user groups, as needed.
Coordinate the scheduling of Event Hosts and coordination/communication of event details with Event Hosts and applicable staff including (but not limited to) Facilities, Member Services Manager, and Recreation Manager.
Plan and execute details related to seasonal special events (such as themes, decorations, menu planning, set-up), working with other applicable Kroc staff and volunteers for coordination and implementation.
Maintain Kroc databases regarding room use & contracts, and Lotus Notes database of insurance requirements.
To maintain and submit accurate monthly statistical reports in a timely manner for events, facility usage/rentals, and any pertinent marketing events, media coverage, or public relations events attended.
Maintain progressive knowledge of all programs, class schedules, worship opportunities, events and facility usage opportunities.
Communicate a complete understanding of services, fees and hours of operation to facility usage guests/members, prospects, members, Kroc staff, and the community.
Create and manage master calendar, including events, for the Kroc center by working with various sections to ensure implementation and track results.
Assist Director of CRD in meeting with businesses to build corporate facility rentals, promoting The Salvation Army at community events and with those using the facility in order to increase membership and facility use.
Give tours of the Kroc Center to promote the center by selling facility use, memberships, events, or classes.
Provide excellent, prompt and courteous services for guests, members and perspective members of the Ray & Joan Kroc Corps Community Center.
Adhere to Kroc Center operations, policies and procedures; observe, explain and enforce all policies/guidelines, safety rules and regulations of the Kroc Center to user groups.
Position will serve as a daytime, evening or weekend manager for the entire facility along with the rest of the full-time professional staff.
This includes Manager on Duty responsibilities.
Attend all staff and committee meetings as assigned.
Provide leadership for the Rental/Events Committee.
Perform other reasonable tasks which may be assigned, as needed.
Be sensitive to the spiritual needs of people and be ready to support them in prayer or offer to refer them to the Administrators/Corps Officers and/or another spiritual leader at the Kroc Center.
SUPERVISORY
Responsibilities:
Coordination and supervision of Event Hosts and Volunteers.
MINIMUM EDUCATION and/or EXPERIENCE.
Experience in event planning, guest relations, excellent customer service skills, excellent organizational skills, and the ability to communicate & work with all guests, volunteers, and other Kroc Center staff are required.
Good computer skills, including the ability to use word processing programs, e-mail, database programs, and point-of-sale programs.
Must be 21 years of age or older.
Must be able to lift and carry 40 pounds.
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS.
Must display an understanding of and support of the Mission Statement of The Salvation Army, and understand the importance of flexibility in relation to this position and accomplishing the mission; Must have a working knowledge of and abide by the Kroc Center Code of Conduct & Policies, the User Group Agreement form, and Health Department regulations (as they pertain to Food Service, if applicable); Must adhere to employee guidelines set forth by The Salvation Army USA Eastern Territory, NEOSA Division and the Kroc Center; The ability to work with people of diverse backgrounds and circumstances; Must be able to maintain the integrity of confidential communications or activities; The ability to maintain a professional and cooperative manner, showing respect, courtesy, and diplomacy toward all others at all times; Must be a team player, taking initiative and assisting others as needed.
Able to work and relate well with people, maintaining a professional attitude and approach to problem solving; Must be able to ensure accurate and timely work product; The ability to exercise good judgment and be comfortable taking initiative with projects; Effective verbal and written communications; Ability to handle security and crisis situations calmly; Must have computer skills, including proficiency in Microsoft Office, e-mail, web searching/browsing, and be trained in the use of Kroc Center-specific software, such as CCMS and Kroc Sales; Knowledge of sales management and customer service; Ability to present a positive and professional image of The Salvation Army; Ability to prepare and maintain records and reports in an accurate and complete manner; Ability to supervise, motivate and evaluate the work of assigned staff; Ability to plan, schedule, and conduct orientations, meeting, trainings, and public presentations; Ability to build and maintain effective and professional working relationships with employees, Salvation Army officers, volunteers and the community; Must have a valid driver's license and be able to be approved to drive a Salvation Army vehicle; Maintain updated KeepSAFE child and vulnerable persons safety training; Must complete a Webcheck fingerprint background check, the expense of which will be reimbursed by the Kroc Center after 90 days.
