Summary:
Ashland University invites applications for the Assistant Registrar position.
The Assistant Registrar is a full time, year-round position.
The successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.
The Assistant Registrar assists in the overseeing of daily operations within the Office of the Registrar, assisting in leading the office in continuous process and procedure improvements, and implementing best practices.
In addition, the Assistant Registrar provides leadership, direction, and guidance to office staff; changes in technology, and efforts to provide seamless service and support to our diverse University constituents.
The Assistant Registrar oversees the graduation process for Undergrad and Graduate students, coordinating with departments across campus to ensure policies, requirements, and information is up-to-date and accurate.
Manages the processing of diplomas for all undergrad and graduate students.
Manages the reporting to NSC and/or NSLDS regarding enrollment status, and graduation.
Manages the records of student athletes through the NCAA system.
Assists in the coordination efforts between admissions, department chairs, academic deans and faculty to graduate students.
Cross-trains with co-workers to provide back-up as needed.
This position has direct supervision of the Student Records Clerks.
Essential Position Duties and
Responsibilities:
Maintains confidential academic files in proper working order in accordance with current FERPA and university procedures.
Assist students requesting information from the Registrar's office.
Assists with record retention processes as they pertain to individual student files.
Assists with digitization of records.
Assists in the distribution and collection of forms, including but not limited to release of records, FERPA waivers, applications for degrees, etc.
Assists in other areas as requested.
Maintain up-to-date student academic records, including all grades (Final, Incomplete, Audit, Credit, Transfer, Integrity Violation, and Withdraw).
Answer department telephone and Regis email, assisting students and other stakeholders with accurate information.
Maintain confidentiality on all information in the office in accordance with current FERPA and university procedures.
Maintain courteous, professional and effective working relationships with employees, vendors and/or any other representatives of external organizations.
Comply with all University policies and procedures.
Supervising work-study students Performing other related duties as assigned.
Assist in the division and distribution of the REGIS email box.
Assistant Registrar Facilitate the Graduation process by checking student program evaluations, contacting advisors concerning students, entering Graduation Applications, graduating students in the SIS.
Print, deliver or mail all Diploma and Certificates.
Generate graduation related reports for commencement and office use.
Facilitate the ordering of graduation supplies of diploma stock, covers and mailers.
Facilitate, maintain and report to NSC and/or NSLDS the following:
Monthly Enrollment Report, Monthly Degree Verify Report, Error Reports, Individual graduation.
Facilitate the accuracy of the NSC records, maintain training, and assist in the annual audit.
Provide Degree Verify requests from NSC email.
Maintain and update Colleague (SIS) with catalog, program and curricular changes.
Facilitate and maintain the records for student athletes, submit NCAA yearly reports in June and November, update athletic team rosters, submit midterm and final grade reports to athletic coaches, update NCAA website after each semester.
Assist with any Institutional reporting request in tandem with the Associate Registrar.
Required Qualifications Position Requirements:
Associates degree required; bachelor's degree preferred At least three (3) year of experience in a high-volume office, Registrar's office experienced preferred Strong experience with SIS systems such as Colleague and reporting system Demonstrated excellence in verbal and written communications skills and attention to detail and accuracy Knowledge of rules, regulations, and laws regarding student records Proven excellent customer service skills, organizational and interpersonal skills Ability to supervise Student Service Clerks and work-study students Proven management knowledge and supervision Ability to work effectively with diverse populations Ability to follow routine verbal or written instructions Excellent and proven record maintenance skills Strong office skills including software and computer skills Proven ability to maintain a high degree of customer service and confidentiality Preferred Qualifications Physical Demands Anticipated Start Date of New Hire 07/17/2023 Anticipated Number of Hours Working per Week 40 Shift Required? The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
